How to Calculate Your Real Hourly Rate

Most people know their monthly salary. Very few know their real hourly rate. Yet this single number tells you more about your financial situation than almost anything else.

Why does it matter? Because 10,000 PLN gross sounds great — but if you're working 220 hours a month (including commute and overtime) and bearing work-related costs, your real rate may be dramatically lower than you think.

The Real Hourly Rate Formula

Forget simply dividing your salary by 168 hours. The real rate accounts for all hidden costs and time:

Real hourly rate = (Net income − work-related costs) ÷ (work hours + commute + preparation)

Step 1: Calculate Your True Net Income

Start with your gross salary and subtract:

  • Employee ZUS contributions — ~13.71% of gross (pension, disability, sickness)
  • Health insurance — 9% of the base
  • Income tax (PIT) — 12% (up to 120,000 PLN/year) or 32% (above)
  • PPK — 2% if enrolled (optional)

Example: 10,000 PLN gross → approximately 7,160 PLN net on UoP.

Expenses you incur specifically because you work:

  • Commuting — fuel, monthly transit pass, parking (average 300–800 PLN/month in major cities)
  • Lunch out — if you don't bring food from home (200–500 PLN/month)
  • Work clothing — suits, shoes, professional attire (50–200 PLN/month amortized)
  • Childcare — extra nursery/kindergarten hours (100–500 PLN/month)
  • Tools and training — courses, software, equipment not provided by your employer

Example: costs of 700 PLN/month → real income = 7,160 − 700 = 6,460 PLN.

Step 3: Count Your Real Working Hours

Your contract says 8 hours/day, but how much time does work actually consume?

  • Hours at office/remote — 168h/month (standard) or more with overtime
  • Commute — 30 min each way = 22h/month
  • Preparation — getting ready, morning routines tied to work (5–10h/month)
  • Unpaid overtime — the "just one more email" hours (5–20h/month)
  • Thinking about work — hard to measure but very real

Example: 168h (work) + 22h (commute) + 7h (preparation) + 10h (overtime) = 207 hours.

Step 4: Calculate

6,460 PLN ÷ 207 hours = 31.21 PLN/hour

Compare this to the "official" rate: 7,160 ÷ 168 = 42.62 PLN/hour.

The difference? 27% less than you thought. Nearly a third of your value hidden in costs and invisible time.

Real Hourly Rate on B2B

The B2B calculation is simpler (fewer hidden tax costs), but you must account for:

  • Entrepreneur ZUS — approximately 1,600–1,800 PLN/month (full) or ~400 PLN (preferential)
  • Accounting — 200–500 PLN/month
  • Equipment and tools — computer, licenses (amortized 200–500 PLN/month)
  • No paid vacation — every day off is lost income
  • No paid sick leave — illness = zero revenue (unless you have voluntary sickness insurance)

Example: B2B rate 150 PLN/hour net, 168h/month = 25,200 PLN. Minus ZUS (1,700), accounting (300), tools (300) = 22,900 PLN. Minus 22 vacation days/year (lost: ~2,750 PLN/month annualized) = effectively ~20,150 PLN/month, giving a real hourly rate of about 97 PLN/hour (at 207 real hours).

Why This Changes Your Perspective

Once you know your real hourly rate, you start seeing expenses differently:

  • Cleaning service for 100 PLN? If you earn 31 PLN/h, cleaning would take you 3 hours — outsourcing is worth it.
  • An hour stuck in traffic daily? That's 22h/month × 31 PLN = 682 PLN in hidden costs.
  • Cooking vs delivery? 1.5h cooking × 31 PLN = 46.50 PLN. If delivery costs 35 PLN, it's cheaper in time terms.

This doesn't mean you should outsource everything — but awareness of your time's real cost leads to better decisions.

How to Increase Your Real Hourly Rate

There are several paths:

  1. Negotiate a raise — direct increase to the numerator
  2. Reduce commute time — work remotely or move closer to the office
  3. Cut unpaid overtime — work smarter, not longer
  4. Lower work costs — cook at home, use public transit
  5. Change jobs — sometimes the only way to make a significant jump

Hourly Rate and Your Financial Freedom Runway

Knowing your real rate helps you plan your path to financial independence. If you earn 31 PLN/hour and want to save 100,000 PLN, that's exactly 3,226 hours of work — assuming you save 100% (unrealistic, but illustrative).

FAQ

Should I count commute time as work time?

For real hourly rate calculations — absolutely yes. Commuting is time you cannot use for anything else. If you commute 1 hour daily, that's 22 hours per month of lost time that lowers your effective rate.

How do I calculate this for remote work?

Remote work eliminates commuting (which raises your rate) but may add costs like electricity, internet, and a home office setup. These costs are typically lower than commuting, so remote work usually increases your real hourly rate.

Is it worth switching to B2B for a higher rate?

Calculate carefully. B2B gives a higher invoice amount, but after subtracting ZUS, accounting, vacation, and sick leave costs, the difference may be smaller than expected. It typically makes sense above 12,000–15,000 PLN net monthly.

How do I factor in benefits?

Convert benefits to PLN: medical package (200–400 PLN/month), sports card (100–200 PLN), employer PPK contribution. Add these to your net income before calculating the rate.
